The following are the instructions for preparing our weekly Coffee Hour. We strive to make this as detailed as possible, remove the guess work, and answer as many questions as possible.
Before Monday Afternoon
- You will typically receive an email reminder on the Friday before you are signed up to host Coffee Hour.
Purchase Pop & Food
- Please have enough food for at least 25 people.
- Confine your purchases to $25.
- Save all of your receipts! (see the very bottom of this page for what to do with them)
- Drinks:
- Generally, we get 3 2-liter bottles of Coke or Pepsi products, one regular, one diet, and one clear. Whatever's cheapest.
- Coffee is already provided.
- Food:
- Good choices are pretzels, chips, cookies, and possibly ice cream, but you can get whatever you want.
Between 3:00pm and 3:15pm Monday
- Coffee hour is currently held in the 6th floor faculty lounge (SENSQ 6323). The code to open the room is sent in the reminder email to volunteers; if you forget it, ask someone at the front desk or a member of GSO to open it for you.
- Making Coffee:
- The coffee machine and coffee is in the faculty lounge. Everything you need should be on the coffee cart (the cart with the coffee machine on it). If you can't find the cart, check the conference room next door. If anything is missing, ask someone at the front desk or a member of GSO.
- Coffee filters should be in the cabinets above the sink or in the coffee cart drawers.
- Fill the coffee pot with water to either the 10 or 12 cup line.
- Pour the water in the top of the coffee machine filling the back reservoir, which has markings up the side of the coffee machine.
- Place a coffee filter in the front of the top of the coffee machine.
- Adding the coffee grounds:
- A 1/8-cup measuring scoop should be inside the coffee can.
- 1/2-cup of coffee grounds makes 10 cups.
- If you are making 10 cups of coffee, add 4 scoops.
- If you are making 12 cups of coffee, add a little under 5 scoops.
- Close the coffee machine, plug it in, and turn it on.
- Supplies:
- Three white bowls, a clear plastic bowl, and a blue plastic bowl are available, which are either in the grad lounge or in the seminar room.
- Plates, bowls, and cups can be found in the cabinet above the sink.
- Utensils and napkins (or a role of paper towels) are around the sink.
- An ice cream scoop (if needed) should be in one of the cabinets above the sink in the faculty lounge.
- If you cannot find something, ask someone at the front desk or a member of GSO.
- Preparing the tables:
- Put ice from the grad lounge freezer in one of the white bowls.
- Use the remaining bowls or some plates to display any other food.
- Leave stacks of plates, bowls, cups, and utensils out for people to use.
- At 3:20pm or so, send an email to the three mailing lists represented by {grad,faculty,staff}@cs.pitt.edu. If this is your first time sending an email to the mailing lists, it may take awhile.
After Coffee Hour (around 4:30pm)
- Take any remaining food to the grad lounge.
- Return the plates, bowls, napkins, etc to where you found them.
- Clean the coffee machine:
- Dump the contents of the black filter into the trash.
- If any coffee remains, you may pour it down the sink drain.
- Clean the tables.
- Soap and a sponge should be near the sink or in the grad lounge.
- Take the attendance sign-in sheet with you.
- Close the door.
Tuesday Morning
- Give receipts and the sign-in sheet to Michele (SENSQ 5113). Make sure you hand them to her in person and not just leave them on her desk.
